Management and protection of your data

Under current privacy legislation, we as an organisation must be able to show what personal data we hold about you and how that data is used and protected. We must also indicate the legal grounds on which we base our use of your data.


Why do we need to keep your data?

We need your data because of the contractual agreements between you and our company, Transgroom. These agreements are important for example when it comes to your purchase of a product or your right to warranty. Transgroom needs to be able to rely on your details in case of:

  • an order
  • a delivery
  • a return or exchange
  • a repair
  • contact with our customer service.

We want to always offer all our customers the best and most personal service. This is made possible using your data. Of course, we always keep your privacy in mind. Specifically, this concerns:

  • your online account
  • reviews
  • a visit to the Transgroom website
  • contact with our customer service
  • the newsletters by e-mail
  • social media
  • promotions
  • personalised advertisements via other media
  • personal advice
  • security, Wi-Fi & cameras.

In some cases, we are obliged by law to use your data, for example in the case of suspected fraud. Sometimes you give us your permission to use your data, for example when you sign up for our newsletter. All your details will be kept safe and accurate by us.

 

Who has access to your data?

  • We will only pass on your data to other parties if this is necessary for our services. ‘Other parties’ are understood to mean suppliers or delivery partners, payment partners, IT service providers, parties that fulfil a product support function and external agencies that collect our reviews.
  • When we want to give you tailored advice and show you targeted ads, we can also turn to research firms, media and advertising agencies and data management platforms.
  • Transgroom is obliged to share customer data with government agencies in suspicious situations.
  • Some cookie developers have access to the data collected by cookies on our website. Further information on our cookie policy can be found on our website under Cookie settings.

We allow all the above parties access to your data, but only in the situations described above. Furthermore, this data may only be used to provide you with a service on behalf of Transgroom. An exception to this is when these parties are themselves responsible for obtaining and protecting your data.

We never sell your data to third parties.

How long and where will your data be stored?

We will not store your data any longer than necessary. If we no longer need your data, we will delete them. If we still need certain data for internal analyses, reports or records after the specified period, we can still use your data anonymously.

Specifically, we maintain fixed terms. These terms vary according to the type of data. After these terms, we will delete your data. The following terms and types of data are specifically concerned:

  • Maximum 30 days: Recorded telephone conversations are deleted by us after that term, unless we have a legal obligation to retain a conversation for a longer period (e.g., in case of suspicion of fraud or in suspicious situations).
  • Maximum 30 days: Camera images taken in our showroom and in other public areas. An exception to this is again in case of a legal obligation (in suspicious situations or in case of a need for further investigation). In the latter cases, the images must be kept for a longer period.
  • 5 years: We delete all e-mail communication after this period.
  • No fixed term: If you have consented to receive personalised messages or have subscribed to the newsletter, we will retain that consent. If at any point you decide you no longer want to receive personalised messages or the newsletter, we will retain your request. Data used for fraud prevention must be kept for longer.
  • 7 years: We delete inactive customer accounts after this period. The same term applies to reports and contact data in the case of servicing (sharpening, repairs or maintenance) of products. Afterwards, your data will only be used by us anonymously for internal reports. The tax authorities also require us to keep our records of your order, payment and invoice data for a period of 7 years. After this term, your data will only be used by us anonymously for internal research purposes. You yourself should also always keep the invoices of your purchases! This is important when, for example, your warranty expires.

We store your data in various databases, mostly within the European Union. In doing so, we always apply strict security measures. If, exceptionally, customer data is transferred to countries outside the European Union, your privacy is also protected appropriately. In the case of certain countries, this has been officially established. In the case of data transfer between an EU country and a country outside the EU, model contracts are often drawn up. Central to this is the guarantee of your privacy.

 

Would you like to see your data, or would you like to change them?

Of course, you remain in charge of your personal data. Do you object to the use of your data for marketing purposes, or do you feel that your privacy outweighs our interests? No worries! You can always access, change, delete or limit the use of your data free of charge. Contact our customer service or ask your question directly via [email protected].

We can also transfer your data to another party. Send us your request by post or e-mail and we will arrange it for you.
